• Payment is made in full at time of registration.

• How to Book: Everything happens privately and securely through our online booking portal.

• When It’s Official: Your spot is confirmed once the service provider sends written confirmation and you’ve completed the intake form.

• Transfers: You may transfer your reservation to another traveler 91+ days before travel pending availability. Any extra costs (flights, visas, etc.) are the traveler’s responsibility.

We strongly encourage all guests to purchase travel insurance — it protects your investment and keeps surprises from becoming… expensive.

Your policy should ideally cover:

• Medical care & emergency treatment

• Evacuation & repatriation (including helicopter or air ambulance support internationally)

• Baggage & personal property

• Trip delays, interruptions, or cancellations

Important notes:

• Some plans require you to purchase coverage within 14 days of your deposit to cover pre-existing conditions or qualify for “Cancel For Any Reason.”

• Review your policy to ensure it covers all activities listed in your itinerary.

• Double-check whether your personal health insurance applies internationally.

• All medical and transportation costs during the trip remain your responsibility.

We hope you never need it — but you’ll be so relieved to have it if you do.

To avoid any stressful surprises:

• Upload a color copy of your passport via the intake form after booking.

• Your passport must be valid at least 6 months after your return date.

• Visa requirements depend on your citizenship — please check your destination’s entry rules.

• It’s each traveler’s responsibility to secure necessary documents.

• If documents aren’t in order, delays or additional expenses may occur (and these can’t be covered by KAX Lifestyle).

If you’re paying for another traveler, each participant must individually sign the Terms & Conditions Waiver.

Booking a double? You can either book for two or list your roommate during checkout. Each guest books separately at the per-person rate.

If you book a double without a confirmed roommate, you’re responsible for the full cost if you don’t have one by 90 days before travel.

KAX Lifestyle doesn’t assign roommates, but if two travelers are both open to sharing, we can introduce you (with everyone’s consent).

If you and your roommate decide mid-trip that sharing isn’t working, you can request a single room if available — and split costs if it’s a mutual decision.

If you’re a very light sleeper or know you snore, a single room is probably a great investment in your happiness.

Flexible or refundable airfare is always recommended.

If you’re booking flights more than 90 days out — or before the retreat is officially confirmed as SOLD OUT — please understand your airline’s cancellation and change policies or insure your ticket.

• Non-itinerary activities

Cancellations

If you need to cancel a confirmed booking before your trip, please reach out to KAX Lifestyle for assistance. It is at KAX Lifestyle’s discretion as to what refunds may be issued, as per below policy.

Refunds

You may request a refund within 14 days of submitting your payment or by January 25, 2026—whichever comes first. After January 25, 2026, no refunds will be issued under any circumstances.

All service fees are non-refundable.

If something goes wrong during your trip (“a Travel Issue”), KAX Lifestyle may, at our discretion, issue a refund of up to the amount you paid through the Site, depending on the situation. All refund decisions are final.

This refund policy overrides any individual trip cancellation policy or KAX’s Membership trip cancellation policy. If you disagree with a Travel Issue decision, you may contact us in writing with supporting information, after first making a good-faith effort to resolve the issue directly. Final decisions rest with KAX Lifestyle.

General Terms

KAX Lifestyle may update or end this refund policy at any time. Any changes will apply going forward and will not affect claims already submitted. This policy represents the full agreement regarding refunds and is governed by the laws of Florida and the United States.

Liability is limited to the total trip cost paid. Some legal limits may vary by jurisdiction.
